Inclusions

Put meals and extras inside a rate plan's price, and set up package plans with a price for the whole stay.

An inclusion is something the price already covers: breakfast, a boat transfer, a diving trip. The guest sees one price. Estatell moves part of that price to the charge item of each inclusion, so your reports show revenue by department. The price does not change.

Inclusions with a meal period also tell the kitchen how many meals to make. See Meals.

Every plan can have inclusions. A package is a plan whose price covers a whole stay, usually with inclusions.

Before you start

  • Permission: Manage property settings. Owners and managers have it by default.
  • Set up the charge items first. Each inclusion posts to one. See Charge items.
  • For meals, set up the meal periods. See Meals.

Steps

  1. Open Settings, then Rate plans, and select the plan.
  2. Select the Inclusions tab.
  3. Select Add inclusion.
  4. Choose the Charge item. Estatell fills in Charged and the Amount.
  5. For a meal, choose the Meal period. Estatell fills in Starts and Ends.

Starts and Ends set the meals the kitchen prepares. They do not change which nights post. For example, breakfast Day after arrival to Departure day gives a breakfast for each morning of the stay.

An inclusion takes money off the room price, not on top of it. The night's price must be at least what its inclusions post. Otherwise Estatell refuses the booking and says the rate is below the inclusions.

Worked example: Half Board

Half Board on a Garden Room costs RM350 on a weekday for 2 guests. Its inclusions are breakfast at RM20 and dinner at RM50, both Per guest-night.

LineAmount
Breakfast: 20 × 2 guestsRM40
Dinner: 50 × 2 guestsRM100

Package plans

A package sells a fixed number of nights for one price, set by arrival date. Choose Package when you create the plan. See Create a rate plan. Set the stay prices on the Pricing rules tab.

The package stay prices: Arrival days, Arrival dates and Price

The Inclusions tab of a package holds what the stay includes.

The Inclusions tab of Dive Package: meals, and a diving trip per guest

Worked example: Dive Package

Dive Package is 3 nights, charged per guest. A Garden Room costs RM750 for each adult. Meals are RM100 for each guest-night (breakfast 20, lunch 30, dinner 50). The diving trip is Per guest, quantity 2, RM180.

2 adults arrive and stay 3 nights.

PartCalculationAmount
Package price2 × 750RM1,500
Meals100 × 2 guests × 3 nightsRM600
Diving trips180 × 2 trips × 2 guestsRM720
Room (what is left)1,500 − 600 − 720RM180

Estatell does not split the price evenly. The diving trips post once, on the first night, so each night covers what it posts:

NightMealsDivingRoomNight total
1RM200RM720RM60RM980
2RM200RM60RM260
3RM200RM60RM260
StayRM1,500

A child aged 8 at 50 percent adds RM375, for RM1,875. Child prices come from the Children tab. On a package, a Fixed amount child price is for the whole stay.
