Overview
What a registration card is, how it goes from draft to signed, and which way to hand it to the guest.
A registration card is the form a guest signs when they arrive. It holds the guest's details, the stay, the terms of the property and the guest's signature. Estatell makes one card for each guest of a unit, and keeps it with the stay.
| I want to... | Go to |
|---|---|
| Choose who must sign, and whether check-in needs a card | General |
| Choose what the card shows and asks | Layout |
| Write the terms the guest agrees to | Terms |
| Check a card, hand it to the guest and sign | Sign a card |
| Download a signed card, or sign it again | Signed cards |
Before you start
- Permission to set up the card: Manage property settings (General and Layout tabs) and Manage registration terms (Terms tab). Owners and managers have both by default.
- Permission to sign cards: Prepare and sign registration cards. Owners, managers and front desk staff have it by default.
- Terms must be published for the card. A new property already has them. See Terms.
How a card works
A card has one of three statuses:
| Status | What it means | What you can do |
|---|---|---|
| Draft | The card is open. Nobody has signed. | Fill in the ID document, vehicle plate and remarks. Hand to guest. Print blank form. Void card. |
| Signed | The guest signed. The card is frozen. | Download PDF. Void card. |
| Void | The card was cancelled with a reason. | Nothing. Estatell starts a new draft when you open the card again. |
Which hand-over do I use
| Situation | Use | What the guest does |
|---|---|---|
| The guest is at the desk and can use your tablet or screen | Hand to guest | Checks the details, ticks the terms and signs on the screen. |
| The guest signs on paper | Print blank form | Fills in and signs the printed form. Estatell does not read it back. |
Hand to guest opens the guest screen in a new browser tab. The guest sees no staff menu. The staff page stays open behind it.
Which cards are needed
The General tab decides which guests must have a signed card before check-in.
| Setting | Who needs a card |
|---|---|
| Primary guest only | The primary guest of each unit. |
| Every adult | Every guest of the unit, except a guest whose date of birth shows they are under 18 on the arrival date. |
If Require card before check-in is on, check-in is refused until these cards are signed. See Check in.
Special cases
| Situation | What happens | What to do |
|---|---|---|
| The unit is cancelled, a no-show or checked out | The guest has no card. Estatell says "This guest cannot have a registration card now." | Nothing. Reinstate the unit first if it was a mistake. |
| The guest was merged into another guest, or made anonymous | The same message. | Open the card from the guest who is still on the stay. |
| The property has no published terms | Estatell says "Publish the registration terms first, in Settings." | Publish the terms. See Terms. |
| A card was signed by mistake | A signed card never changes. | Void it, then sign a new one. See Signed cards. |
