Reinstate
Bring a cancelled or no-show unit back to Confirmed.
Use Reinstate when a cancelled or no-show guest comes back, or when a unit was cancelled by mistake. The unit goes back to Confirmed and is priced again.
Before you start
- Permission: Manage reservations.
- The unit must be Cancelled or No-show.
- The business date must be before the departure date.
- A room of the same type must be free on every night of the stay.
Steps
- Open the reservation. On the Units tab, pick the unit.
- Select the ⋯ menu on the unit, then Reinstate.
- Enter the Reason. It is required.
- Select Reinstate.
- Assign a room or bed. The unit comes back without one. See Assign rooms and beds.
What happens
- Estatell prices the stay again with today's rates.
- A night price you changed by hand stays.
- A fee already posted is not removed. Reverse it on the folio if it was wrong. See Folio.
- Add-ons that stayed on the unit come back. Add-ons you removed when cancelling do not.
- The activity log records it with the reason.
Special cases
| Situation | Example | What happens | What to do |
|---|---|---|---|
| No room is free | The room type is sold out for the nights. | • Reinstate is refused. | • Free a room, or book a different room type. |
| After departure | You try to reinstate a unit after its departure date. | • Reinstate is not in the menu. • "The stay has ended." | • Make a new booking. |
| No reason | You leave Reason empty. | • "Enter a reason." | • Enter why the unit comes back. |
| The fee should go | The guest came after all, so the no-show fee is wrong. | • The fee stays on the folio. | • Reverse the fee line on the folio. |
| Reinstate then cancel again | A guest cancels, comes back, then cancels again. | • Each cancel can charge its own fee. | • Check the folio for two fees. |
| The rate is missing | No rate is set for one of the nights. | • Reinstate is refused. | • Set the rate on the rate calendar, then try again. |
