Overview

When to cancel, when to mark a no-show, how the fee is worked out and how to bring a unit back.

Use Cancel when a guest tells you they will not come. Use Mark no-show when a guest does not arrive and does not tell you. Both release the room so you can sell it again. Both can charge a fee, from the policies your owner set. Reinstate brings the unit back.

Only a Confirmed unit can be cancelled or marked no-show. A unit that is already checked in is checked out instead. See Check-out.

How the fee is worked out

The fee comes from the policy on the day you cancel or mark the no-show. A booking does not keep a copy of the policy. The fee is charged to the unit's folio on the business date, with tax.

Set the policies

Owners and managers set the policies. They need Manage property settings.

  1. Open Settings › Billing setup › Room revenue.
  2. Select the Cancellation tab or the No-show tab.
  3. Under Charge, choose Free, Fixed amount or Percentage.
  4. For a percentage, fill in Percent, Rate basis and Applies to. For cancellation, set the Free cancellation window too.
  5. Check the Example on the right. It shows what a guest pays on a sample stay.
  6. Select Save policy.
